Service for tracking in‑city trips of field employees

Intercom mobile app development

The company Intercom provides maintenance services for banking equipment, office equipment, cash registers, and terminals. Its staff includes more than 100 field employees responsible for technical support and maintenance.

Fuel expenses are covered using corporate fuel cards. However, trip monitoring is only partially controlled: all communication is done by phone, and dispatchers cannot track the current location of the technicians. As a result, force majeure situations sometimes occur when employees are unreachable by phone.
Improve control and manageability of business processes, reduce fuel costs, and lower the workload of accountants responsible for preparing and printing route sheets.
Goal
Client tasks
1
Tracking employees’ movements during work trips using GPS/GLONASS logs.
2
Recording employees’ fuel consumption in liters.
3
Calculating fuel usage based on a configurable rate.
4
Task assignment and monitoring for employees.
5
Automatic generation of monthly route sheets.
6
Integration with the company’s ITIL help desk application.
Our solution
  • Track recording must continue even when there is no Internet connection or the GPS signal is weak.
  • There must be a feature for opening and closing a work shift.
  • While recording a track, users should be able to pause and resume it.
  • The employee’s current location should only be tracked during an active shift.
  • When submitting a job request, the GPS coordinates of the target location must be transmitted.

The system was developed in stages: from creating the MVP and launching the first version of the app to implementing the full set of features. New functionality was first tested on a small group of users and then rolled out to all.
The first stage was the preparation of the technical specification and the system design. During several interviews, our analysts gathered the requirements for the mobile application and identified the following key features:
During implementation, several enhancements were introduced, including automatic app updates, the ability to roll back to a previous version, and viewing the installed app version for all users.

Over the warranty support period, the team identified and resolved key issues caused by low‑quality GPS modules in budget Android devices, and the client selected the most reliable devices and brands for future use.
  1. Company fuel expenses were reduced by 33% because all work trips are now reimbursed only when a track has been recorded.
  2. The workload of accountants decreased thanks to automatic report generation: employee activity reports, fuel expenditure reports, and monthly route sheets are now generated and printed once a month.
  3. The efficiency of field staff increased due to a clear system for tracking work trips.
  4. Mobile communication costs were reduced thanks to the digital submission of job requests.
  5. Overall business control and manageability improved through digital monitoring and the automation of routine processes.

Thanks to the new system, we achieved 33% in fuel savings by eliminating mileage padding. Previously, drivers filled out daily route sheets manually, which was incredibly hard to control. Now, department heads can track their team's real-time location and approve daily trips on the fly, signing just one consolidated route sheet at the end of the month. The accounting team also processes reports much faster, with practically zero calculation errors.
